Job SummaryReporting directly to the Associate Vice President of Information Technology, the IT Business Operations Manager is responsible for ensuring the smooth operation of the IT department's business functions. This role will provide operational, financial, human resources management, IT contract management, vendor relationships, and operational efficiency within the IT department. This position will also serve as a liaison within the various University colleges and departments including external partners. Additionally, the IT Business Operations Manager will provide accurate data and assist in the execution of various short, medium, and long-term projects, including events as deemed necessary for the IT Department. The IT Business Operations Manager collaborates closely with IT leadership, finance, HR, and other departments to align operational strategies with business objectives, optimize processes, and ensure compliance with organizational policies.
Knowledge, Skills and AbilitiesIndividuals must possess a combination of technical knowledge, business acumen, and interpersonal skills to manage IT operations efficiently, as well as the following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Key ResponsibilitiesBudget and Financial ManagementAssists the Associate Vice President (AVP) of IT as the financial administrator in developing and monitoring budgets for the IT Department, including generating payment requisitions, purchase orders, budget & cash transfers, record keeping, credit card expense reports, statement reconciliation, and invoices.Work collaboratively with the AVP of IT, IT Leadership, and IT Operations team on the development of budget and financial projections, proposals, and reports. Prepare quarterly reports on budget accounts and resolve budget operation issues. Assist and prepare budget and financial reports for restricted and unrestricted designated funds, prepare preliminary analyses, and give recommendations.IT Purchasing, Procurement, Vendor and Contract ManagementManage vendor relationships, evaluate vendor performance, and ensure adherence to contractual obligations.Oversee procurement of hardware, software, and services necessary for IT operations.Assist the AVP of IT in contract management, negotiation, and act as a liaison between legal team, colleges, and departments on IT related contract engagements.Manage operational risks, including those related to financial, contractual, and vendor management.Team Leadership and DevelopmentPartner with the AVP of IT and IT Leadership as a member of the IT Leadership team. Directly oversee the IT Operations unit, providing leadership and mentorship to the IT business operations team, fostering a culture of excellence and continuous improvement.Develop and implement training programs to enhance the skills and capabilities of the team.Conduct regular performance reviews and provide feedback to team members.Collaborate with AVP of IT and IT Leadership to oversee IT resource allocation, including human resources and technical resources.Collaborate with AVP of IT and IT Leadership to manage staffing needs, recruitment, and onboarding for IT teams.Partner with AVP of IT and IT Leadership to ensure that resources are efficiently allocated and utilized to meet business demands.Strategic and Operational EfficiencyIdentify and work with the AVP of IT and IT leadership to implement process improvements to enhance the operational efficiency within the IT department.Develop standard operating procedures (SOPs) for the IT business operations.Ensure alignment of IT operational processes with organizational policies, regulatory requirements, Business Strategic and IT Strategic planning.Establish key performance indicators (KPIs) to measure the effectiveness of IT operations.Monitor performance metrics and generate reports for IT leadership to evaluate business operations.Identify areas of underperformance and partner with AVP of IT and IT Leadership to implement corrective measures.Work closely with AVP of IT and IT Leadership to develop and execute operational strategies aligned with University vision, mission, and strategic goals.Communicate regularly with AVP of IT and IT Leadership on state of business operations and operational needs.Act as a liaison between IT and other departments/colleges ensuring clear communication and transactional relationship of operational needs.Project ManagementPartner with the AVP of IT, IT Leadership, and the Project Management Office (PMO) to oversee operational aspects of IT Projects, including resource allocation and budget tracking.Partner with AVP of IT, IT Leadership and the PMO to ensure that IT projects are completed on time, within scope, and within budget.Collaborate with project managers to ensure alignment with business priorities.Work ScheduleThe IT Business Operations Manager position will follow a standard 8:00 AM to 5:00 PM schedule, with occasional nights, weekends, and potential travel as needed to meet business requirements.
