The Office Administrative Assistant will work directly with Project Managers and Project Architects to help log, track, and process RFI and Submittals during the Construction Administration (CA) phase.

Job duties:

•Log, Track and assist project teams with managing RFIs and Submittals during construction.

•Assist project teams in the permitting phase by tracking progress of projects.


•Assist in setting up projects in Kirksey specification system for project teams.


•Assist in processing AIA documents for project teams.


•Maintain and archive project documentation.


•Maintain conference room schedules

•Answer phones, answer door, accept deliveries

•Maintain inventory of the mail: copy, scan, sort

•Fill out courier requests

•Order and stock supplies

•Assist in coordinating events with leads and vendors

•Assist Marketing department with event planning and set up

•Assist Accounting department with deposits/scanning checks

•Additional projects as assigned

•General administrative support as needed

Requirements

•Minimum of 3 years of experience in an Architectural or Construction firm is strongly preferred.


•Experience managing/processing RFI and Submittals is preferred.

•Experience with collaborating with Architects, Engineers and/or Contractors during the construction phase is preferred.

•Experience with managing/coordinating project documentation including contracts, budgets, and schedules with project managers is preferred.

•Strong organizational and time management skills.


•Have strong communication skills, business acumen and a customer service driven attitude.
