Office Assistant Objective:

Home Instead is seeking an Administrative Assistant to assist in daily tasks in the office, and handle duties for management.
We are looking for an individual who is efficient and comfortable being a member of a team.
The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position.
The ideal candidate for this job is resourceful, a good problem solver and organized.
Assuring a steady completion of workload in a timely manner is key to success in this position.


Primary Responsibilities:

Manage workflow by assigning tasks to other administrative employees daily, ensuring that deadlines are met and work is completed correctly

The ability to display excellent customer service skills
Greet and welcome each visitor in a friendly, warm and professional manner

Implement and monitor programs as directed by management, contribute to the growth of the organization by completing assigned tasks

Generate memos, emails and reports when appropriate

Assist in maintaining office supplies by checking inventory of supplies

Promptly respond to questions and requests for information

Answer incoming calls in a timely manner
Assist with contacting CareProfessionals in regards to their schedules and the clients schedules
Communicate client and CareProfessional concerns with the owner or appropriate office staff member
Enter and maintain accurate client and CareProfessional records in our operating system
Assist in Interviewing and the Hiring Process for CareProfessional.

Ensure that Home Instead standards are met and upheld
Perform other duties as assigned

Knowledge, Skills and Abilities

Knowledge of Senior Care preferred
Associates Degree or relevant experience preferred

Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel and the ability to learn our proprietary software

Ability to analyze and revise operating practices to improve efficiency

Detail oriented and comfortable working in a fast-paced office environment

Exceptional communication skills

Superior organization skills and dedication to completing projects in a timely manner
