NOTE:This position is eligible for a flexible work schedule upon approval by the Director as follows: a 9-80 flexible work schedule with an extra day off every other week or Monday through Friday.
The City of Auburn's Public Works Department is seeking aOffice Assistant for our engineering division.This is a great entry level position to the Public Works Department.
The position includes providing support for a variety of internal and external customers involving all aspects of the City's public works responsibilities including our transportation system, water, sewer and storm drainage systems, and the City's Municipal Airport.
This position performs semi-routine, clerical work with an emphasis on customer service, word processing, spreadsheets, data input, filing, and recordkeeping.

The Public Works Department is a very team oriented department and due to the diverse responsibilities we have, there is never a dull moment.

Primary Duties
In this job you will...
* Serves as the initial point of contact, and provides customer service, by assisting the public at the front counter and over the telephone answering inquiries, entering requests for service in the City's request management system, and/or referring them to the appropriate staff person; may provide phone and counter support as needed for other service areas of the department to include Maintenance & Operations and Airport.
* Their organizational skills, ability to schedule and organize meetings and events, ability to learn the technical aspects of the position and to learn about the department to be able to address customer concerns effectively.
* Prepares written communications in the form of correspondence, reports, forms, fliers, and manuals; enters and retrieves data; creates presentations, brochures, graphics, and/or marketing materials, as assigned.
Maintains and updates standardized forms electronically.
* Provides clerical support for all correspondence for the Division including proofing and formatting of the documents and maintains the reading file and archiving of these records.
* Receives, date stamps, and distributes mailto the appropriate Engineering employees; processes outgoing mail including, but not limited to, certified mail, mail to be delivered overnight or by courier, and UPS.
* Sets up hard files as needed in Central Files for the Department.
Files and retrieves documents from the Departments records and City archives.
Assists with archiving of departmental records from Engineering for conveyance to the City Clerk.
* Assists with the production of Engineering publications, such as the City's Engineering Design and Construction Standards.
This work includes, but is not limited to, formatting, revision tracking, uploading to the website, web document formatting, maintaining an interested parties list and distributing to interested parties upon issuance.

Minimum Qualifications
We are looking for candidates that have:
* Graduated from high school or equivalent
AND
* One year of related work experience required.
* Strong skills in Microsoft Word, Excel (including charts and graphs), PowerPoint, and Outlook is required.
We would love if you have...
* Skills using Microsoft Outlook, Access and Adobe Creative Suites.
* Experience in a government/municipal setting
