Job Description: As the Office Manager at South Jersey Water Conditioning, Inc., you will play a pivotal role in overseeing the finance and human resource functions of our organization.
You will be responsible for managing administrative tasks, office operations, and providing support to various departments.
Responsibilities: Manage daily administrative tasks, including answering phones, responding to emails, and handling correspondence Coordinate and schedule appointments, meetings, and travel arrangements for staff and management Maintain office supplies inventory by checking stock levels, placing orders, and verifying receipt of supplies Oversee office facilities and equipment maintenance, including liaising with vendors and service providers Supervise administrative staff, including hiring, training, scheduling, and evaluating performance Ensure compliance with company policies and procedures, including data protection and confidentiality Handle finance functions such as invoicing, billing, expense tracking, and financial reporting Handle payroll processing, benefits administration, and other human resources functions.
Coordinate recruitment processes, including job postings, candidate screening, and interviewing Onboard new employees, including conducting orientation sessions and administering employment paperwork Prepare and maintain reports, documents, and records related to finance and human resources Support other departments as needed to facilitate communication and streamline operations Handle customer inquiries and concerns, providing timely and professional assistance Implement and maintain office management systems and procedures to improve efficiency and productivity Stay up-to-date with industry trends, developments, and best practices related to office management and finance Performs other duties as assigned Physical Requirements: Ability to sit, stand, and walk for extended periods Manual dexterity to operate a computer, handle paperwork, and perform administrative tasks Visual acuity for reading documents and operating office equipment Ability to lift and carry objects weighing up to 20 pounds occasionally Qualifications: High School Diploma or Equivalent required; Associates Degree in office administration or related field preferred Proven experience in office management, finance, and human resources roles Strong organizational and time management skills Excellent communication and interpersonal abilities Proficiency in Microsoft office Suite and office management software Proficiency in Payroll and Benefit Management systems Attention to detail and accuracy in performing tasks Ability to multitask and prioritize tasks effectively Leadership skills and the ability to work independently and as part of a team Problem-solving mindset and adaptability to changing priorities Valid New Jersey driver's license with a clean driving record Monday through Friday (8am-5pm) Health Insurance, Dental and Vision, 401k with matching, Profit sharing, PTO Must pass background check ($55,000 D.O.E.)
