The Operations Manager reports to the company owners and primarily oversees daily operations activities for Vilgar Property Management and its subsidiaries.
This position is key to well-run property operations at Vilgar Property Management.
This is a full-time position that sometimes requires time beyond the usual schedule and occasional weekend work.

Responsibilities: The primary responsibilities include the implementation of the overall vision for owner relationships, property renovations and maintenance, execution of company operations matches Vilgar Property Management's commitment to offering outstanding property management in Northwest Indiana.
Primary responsibilities include: Managing operations staff to ensure compliance with company policies and procedures, and providing coaching and accountability for performance.Creating KPIs for departments and individuals, tracking performance, productivity, and efficiency, and regularly reporting on performance to company executives.Managing the bid process for ongoing maintenance and renovation projects for properties.
This includes understanding the scope of work to be performed, soliciting bids, obtaining approval from owners, assigning work to the appropriate vendors, overseeing and documenting the work as it is completed, and documenting the process correctly in the software systems (AppFolio and Quickbooks) to ensure correct payment for vendors.
Overseeing cost estimates for repairs and renovations including processing purchase orders, work orders, and documenting owner payments and receipts for actual expenses in Quickbooks.
Projecting annual owner returns on properties and communicating year over year (YOY) performance.Leading weekly team meetings.Troubleshooting and problem solving on operations issues.Monitoring the productivity of the maintenance team and the cost efficiency of the maintenance work.Tracking repairs and updates to vacant properties.
Managing the Vilgar Property Management interface with the lawn care service including maintaining an updated list of properties that require lawn maintenance, communicating with primary contacts at the lawn care company, overseeing billing, and managing seasonal snow removal for tenants.Overseeing monthly cleaning schedules for common areas.Communicating with cleaners when deep cleaning or haulaway services are required.Researching and trying new systems as needed.Reviewing payroll submissions and time tracking records for operations staff.Cross-train in other roles at VPM and assist as needed.Complete other duties as needed for special projects. Position Requirements: 5+ years of management and leadership experience (or 3 years of military leadership experience).Previous experience managing maintenance repairs, construction projects, or renovations.Previous experience managing contractors and employees.Strong verbal and written communication skills.Bi-lingual Spanish skills appreciated.Functional knowledge of technology (including Microsoft 365 and Google based email), and experience with (or a willingness to learn) AppFolio, basic QuickBooks activities, and future software programs as needed.Reliable transportation and willingness to commute to the Vilgar Property Management office in Hammond, IN (and regular visits to properties in Lake, Porter, and LaPorte counties).Motivated self-starter with a growth mindset.Strong level of detail-orientation is required to succeed in this position.Physical requirements include sitting and standing for extended periods of time and occasionally moving materials that may weigh up to 50lbs.Mental requirements include learning new tasks, remembering processes, maintaining focus, completing tasks independently, making timely decisions, and the ability to communicate with customers, employees, and contractors.
