Patent Prosecution Administrative Assistant

Our client, a prominent, mid-sized law firm in the heart of New York City, is seeking an Administrative Assistant to support the patent prosecution department with all aspects of patent prosecution administrative matters.
This is an on-site position in beautiful offices overlooking Central Park.
Our client offers flexibility with a choice of working hours: 9:00-5:00, 9:30-5:30, or 10:00-6:00.
Availability for overtime as needed is required.
Compensation: $65,000 – $75,000
Job Description:
Handle the day-to-day administrative functions and provide general clerical support to the patent prosecution attorneys and paralegals.Prepare draft reporting letters and e-mail correspondences.Proofreads correspondence and legal documents for content, grammar, spelling and formatting.Review, confirm and saves incoming correspondences from the clients and foreign associates.Opens new client-matter numbers.Maintains and updates the patent prosecution files in the electronic records management systems.Assists with invoices.Obtains published applications and patents from the U.S. Patent Office, WIPO and foreign patent databases.Ensure correspondence and legal documents are processed and handled in a timely and efficient manner in order to comply with appropriate regulations and deadlines.Assist with the reporting and payment of the patent annuities.Assists with maintaining and updating patent status reports.Assist with the patent prosecution docketing in CPI, as needed.Assists other departments with administrative and clerical functions when necessary, including reception-desk responsibilities in the New York office. Candidates must have the following:
Associate or Bachelor's degreeDemonstrated ability to multi-task, manage workflow.Proficiency with document management and word processing software including Microsoft Office Suite applications, iManage and Adobe Acrobat.Ability to work efficiently under pressure and tight deadlines.Ability to maintain strict confidentiality.
