Under the direct supervision of the Administrative Bureau Commander of the Police Department; utilizes modern office methods and technology; manages and oversees organization-wide processes, records, payroll, and time management; performs related duties as required and assigned; functions within designated parameters as directed; reports all activities to the Commander.
Performs any administrative or organizational duty as assigned by the Commander or his designee.
Shall maintain a high level of security, discretion and confidentiality.

In coordination with the Human Resources Office, initiates personnel transactions required by the organizational unit including separations, promotions, leaves, transfers, reclassifications, recruitment, and training.
Keeps currently informed of new and revised personnel policy statements, regulations, collective bargaining, directives, and other communications published by the departmental personnel office, and develops plans and procedures for implementation of such communications.
Coordinates the collection of data, and preparation of administrative and informative reports on support of program activities, time and attendance records, leaves, terminations, new employees, transfers, fiscal expenditures, and statistical records of performance data.
Maintains scheduling and time management records; utilizing and maintaining appropriate designated software solutions.
Alerts superiors if problems are identified.
Investigates administrative problems and makes recommendations for solutions.
Assists in planning, recommending and implementing administrative improvements, including organizational changes, and work systems.
Expedites and coordinates services such as maintenance, repairs, supplies, and mail.
Directs and/or makes special studies.
Interprets administrative regulations and policies as required within the department or division.
Plans, schedules, and/or attends meetings and conferences, and prepares reports thereon.
Reviews and/or prepares routine correspondence.
Supervises the maintenance of records and files.
Reports to the Commander; prepares and submits detailed reports with analysis and recommendations to the Commander upon need or request.
Requirements: Four year college degree or equivalent is recommended but may be waived by the Chief of Police.
For Senior - two (2) years as Administrative Assistant.
Upon verification of requirements, promotion will take effect the following July 1.
For Principal - two (2) years as a Senior Administrative Assistant.

Knowledge and Abilities: Knowledge and Ability to effectively utilize current software and hardware available in the office environment including Microsoft Office programs.
Knowledge of modern office methods, practices, technology and equipment.
Knowledge of the internal organization and established policies, procedures, and regulations relative to the work of the department or autonomous government agency.
Knowledge of problems involved in the formulation of effective policies and procedures for the office and other clerical and related operations.
Ability to supervise the preparation of statistical and other reports containing findings, conclusions, and recommendations.
Ability to supervise the establishment and maintenance of records and files.
Ability to comprehend established office and other clerical and related routines and rules and regulations of the organization.
Ability to organize assigned work and develop effective work methods.
Ability to give assignments and instructions to individuals and groups.
Ability to prepare and supervise the preparation of reports.
Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units.
Ability to read, write, speak, understand, and effectively communicate in English sufficiently to perform the duties of this position.
