A Brief Job Description:The role of the Program Assistant is to assist with administrative and program tasks to ensure the program operates smoothly.
Essential Job Duties and Responsibilities: Administrative TasksAssists Program Director with referrals and waiting lists to ensure prompt access to services.Contacts referral sources to obtain necessary documentation for program enrollment (referral, consents, insurance information, medical necessity forms).Provides back-up reception coverage and assists with administrative duties as needed including mailing, copying, faxing, scanning, filing, data entry, etc.Facilitates general housekeeping of office and program areas.Documents meeting minutes and distributes them to team members.Program TasksAssists with orienting new members to group programming.Assists Peer Support Specialists with services consistent with the department goals and outcomes, which may include individual, group and/or support services at the program site and/or in the community.Assists with special events as needed.Collaborates with community resources and makes referrals as necessary.Maintains appropriate documentation in a timely manner consistent with department requirements and HIPAA regulations.Adheres to agency policies and department procedures.Engages individuals in a personal, supportive manner, creating relationships that emphasize wellness and recovery.Supports an organizational culture of being culturally sensitive and trauma-informed.Education and Experience: High School Diploma or EquivalentKnowledge, Skills, and Abilities: Telephone skills include answering calls in a welcoming manner, taking messages accurately, transferring calls to appropriate persons, etc.Computer proficiency includes word processing, data entry, and using standard software applications.Demonstrated ability to handle a variety of work assignments and to think creatively.Skill in planning and scheduling to establish deadlines and ensure the timely completion of several independent tasks and short-term projects.Capable of working both independently and as an interdependent member of a team.Demonstrated good oral and written communication skills.Ability to act with integrity, professionalism, and confidentiality.Individuals must demonstrate sensitivity, respect, and competency with diverse cultural backgrounds, social identities and practices of community members and be willing to participate in anti-racism focused diversity training to increase skills in this area.Ability to respond to questions from agency staff, individuals served and community guests.Personal lived experience with mental health is preferred.Bi-lingual in Spanish preferred.Equipment, Machines and Software Used: Driver's License, clean driver's abstract and reliable vehicle required.Ability to operate various office equipment including computer, printer, telephone, fax machine, photocopier, scanner, and calculator.Computer Software: Electronic Health Record experience, Welligent experience a plus; Microsoft Office to include Word, PowerPoint, Outlook, and Excel.Physical and Mental Requirements: Prolonged periods of sitting at a desk and working on a computer.Ability to exert up to 15 pounds of force frequently, and/or a negligible amount of force constantly to move objects.Must be able to access and navigate each department at the organization's facilities.Finger dexterity required to operate telephone and computer keyboard.Hearing at a level to enable one to hear normal conversation.Visual requirements of having the ability to read documents, the computer screen, etc.Work Hours: The standard work week is 35 hours. Hours of work is department specific. Flexibility may be required on occasion.This work cannot be performed from home or in hybrid format.Compensation: Compensation will be in the range of $15-$17/hr.Contact Information:Sue MacDonald
