The Property Manager will be charged with the direct oversight of assigned real estate property and be accountable for its
overall operational and financial performance with the goal of maximizing asset value and customer satisfaction.
A Property Manager is responsible for various functions including, but not limited to:
GENERAL Manage the general administration, leasing and occupancy, maintenance of the property and management of all property associates Maintain the physical assets and performance of the property to achieve the highest possible net operating income without compromising the quality of the property's appearance or level of service Maintain a working knowledge of company policies, applicable local, state, federal laws and regulations, and other applicable policies and procedures. HUMAN RESOURCES Directly manage property staff, including Leasing, Marketing, and Maintenance associates. Recruit, hire, train, develop, hold accountable, evaluate, implement corrective action, and terminate as needed. Recommend pay and status changes. Practice fair and professional conduct with associates in accordance with company policies and procedures. FINANCIAL Prepare annual operating budget for the property. Review monthly operating results and provide variance explanations along with any projections for the year.Ensure the timely and accurate collection of rents, security deposits, and any other applicable fees. Follow up on any delinquent rents, initiating collection and/or eviction procedures as necessary.Approve expenditures within specified budgetary guidelines and process all invoices in a timely manner. Plan for any necessary capital expenditures. LEASING/MARKETING Work with Leasing/Marketing staff to maximize occupancy, keeping tabs on property rent roll at all times. Develop and implement a marketing plan based on factual analysis. Gauge market conditions to stay current on rental rates or offerings at comparable properties.Meet with prospective residents to determine eligibility based on established criteria. Show vacant/model suites and amenities. Provide quotes for rental rates and/or promotions and follow-up on rental status. Process rental applications, approve applicants for residency, and ensure that all leasing documents are in place. Conduct move-in inspection of rental unit. Prepare and approve move-out documents, account for any applicable damages or unpaid fees. Conduct move-out inspection of rental units. Prepare vacant units for new occupants.Enforce occupancy policies and procedures. TENANT RELATIONS Provide positive customer service to current and prospective residents. Promptly address tenants' service requests, concerns, etc.Establish and maintain relationships with residents. Take note of any suggestions that they may offer. Develop events based on their interests. MAINTENANCE Work with Maintenance staff and/or third-party service provider to ensure that the property is attractive, safe, and fully functional. Know the status of all applicable warranties. Promptly and properly address all service requests.Perform a physical inspection of the premises on a regular basis, addressing any safety, repairs, or maintenance issues. Note and plan for any necessary capital expenditures and implement capital projects when approved. Review, understand, analyze, negotiate, and make recommendations for vendor contracts. Operate the management office in a highly professional manner. Monitor regulatory compliance and company policies and procedures related to management and ensure that all associates comply accordingly.Maintain a working knowledge of all maintenance programs and capital improvement projects to ensure proper and efficient operation of systems, preventive maintenance programs, housekeeping functions and responses to resident service requests. Ensure compliance with housing quality standards.Ensure timely input, proper use and full utilization of property management software systems from all associates. Ensure on-site staff availability for each day of the week and on-call availability during off hours for emergencies. Maintain complete records and documentation of all property management activity. Ensure proprietary information is protected and kept confidential. Aptitude/Abilities/Skills: Bachelor's Degree from an accredited college or university with a focus in property management or related discipline, or equivalent work experience is required; preferred ARM or CPM designee or candidate; additional CMCA or AMS certification a plusExperience with Yardi or other property management software Proficient with Microsoft Outlook, Word, and Excel Ability to multi-task in a fast-paced environment Strong problem-solving abilities Broad real estate and financial background with 3-5 years of relevant experience as Property Manager with experience in all facets of property operation and managementExcellent communication, technical, interpersonal, organizational and analytical skills required Proven work experience as Property Manager with background in supervision and successful track record of accomplishmentsMust be available on weekends for staffing needs and/or emergencies.Fully understanding property management and its financial aspectsWell organized with excellent time management skills Proven ability to comply with operational policies and procedures, codes, and regulations This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that
