The Administrative Assistant support the Finance, Human Resources, and Communications and Marketing offices with high level administrative support.
This is a full-time position with occasional remote work permitted.
Essential Functions: Maintain complex calendars for the Director of Finance and Operations, Director of Human Resources, and the Director of Communications and Marketing.
Schedule meetings, coordinate with others to schedule large and small group meetings Staff 6 Board of Trustees committees: collaborate with the Executive Assistant to the Head of School to schedule meetings, arrange for rooms, distribute materials, take and distribute minutes Manage the school parking program Maintain a system for tracking business contracts Lead the annual property and liability insurance renewal process Assist in curating content for website, newsletter and social media Support the faculty hiring process by scheduling interviews, provide administrative support to search committees, and create and maintain search committee tools Support current employees by answering general questions, preparing orientation materials, meeting with new employees Maintain electronic and paper employee file systems Coordinate with department chairs and academic departments to order textbooks Serve as the office manager for the Administrative Offices building: order office supplies, maintain kitchen items, organize small events, coordinate submitting work orders and furniture ordering, update signage, etc.
Maintain strict confidentiality Other duties as assigned Minimum Qualifications:
All candidates must demonstrate a commitment to the schools mission, values, and philosophy, especially related to diversity, equity, and inclusion; environmental sustainability, and global perspective.
An Associate degree and 3 years of related experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job.
Experience using MS Office products and expert skill using Outlook for scheduling
Experience setting up and running Zoom meetings
Experience with creating organization systems
Database experience
Compensation:
Salary is highly competitive with top independent schools in the region and commensurate with education and experience.
This is an hourly (non-exempt) position with a pay range of $27 - $30 per hour.
