Our client, a leading private equity firm is seeking a Senior / Executive Administrative Assistant for a contract-to-hire role located in Atlanta, GA. ROLE & RESPONSIBILITIES Create a welcoming environment by greeting guests as soon as they arrive, answering phone calls, directing visitors to meeting/conference room, and taking messages for employees as needed. Coordinates and manages scheduling and logistics for Quarterly and Annual Board meetings: schedule/ manage venue, menus, AV, other set up as needed; communicate and coordinate schedules with board members, investors, other attendees. Distribute meeting materials, ensure meeting preparation and set up is completed in advance Coordinates the booking, setting up and calendar of meeting/conference rooms. Organizing and oversight of meal delivery for meetings, conferences, firm events, etc. Ensuring conference rooms and reception area is always tidy and professionally presentable. Maintains and orders inventory of general office supplies, snacks, etc. Retrieving and sorting daily mail and deliveries. Serves as liaison to building management for basic maintenance and cleaning. Provides basic and accurate information in-person and via phone/email to visitors Provides EA support to two partners, primarily managing calendars, scheduling dinners/meetings, domestic travel and some personal errands. Some ancillary support to other team members as needed. REQUIRED SKILLS Positive attitude and pleasant personality for greeting visitors in a friendly and warm manner upon arrival to the office or through the phone Strong technical skills, experienced in Microsoft Office Suite: Word (ability to convert to PDF), Outlook, Expense Management system (Expensify a plus), Hands-on experience with office equipment (e.g. fax machines and printers) Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Comfortable working in a fast-paced environment, multitasking and time-management skills, with the ability to prioritize tasks High school degree; additional certification in Office Management is a plus REQUIRED EXPERIENCE AND EDUCATION 5+ years of professional senior and/or executive administrative experience. Board support experience. Experience in financial services, investment banking, private equity, or consulting strongly preferred. High school degree required; additional certification in Office Management or college degree is preferred. Pay Rate- $29-$33/hr Final determination will be based on an evaluation of experience, education, budget, etc.
