JOB SUMMARY
Reporting directly to the Deputy Elections Administrator, responsible for providing administrative support to the Williamson County Elections Department by performing reception and clerical duties.
EXAMPLES OF WORK PERFORMED Provides coverage at a reception desk to assist visitors and callers Provides customer service via telephone, email or in personAssists public with voter registration and general election informationResponds to routine and mid-level questions, generally in-person, by phone or emailAnswers multi-line telephone and monitors multiple departmental email accountsRefers requests for detailed information to appropriate departmental personnelProcesses internal and external mail, and checking mail at off-site post office boxMaintains office supply inventory and places orders, as neededCoordinates office equipment maintenanceMonitors postage accounts and requests refills, as neededReceipts clientele for various paymentsAssists in the processing of depositsAssists in purchase order preparation, as neededReceives and files campaign finance reportsCoordinates publishing of various legal notices in the newspaper as required by the Texas Election CodeProcesses Volunteer Deputy Registrar (VDR) certificates Creates and maintains various reports, forms, worksheets, and informational materialsEnsures comprehensive filing systems are maintained and up to dateEnters and verifies data within applicable databases and systemsServes as a primary contact for the election Judge's hotline and assists with complex issues from elections judges and staffAssists during elections with elections-specific tasksCross-trains with office staff in other areas to ensure continuity of departmental operationsAttends all meetings and trainings, as requiredPerforms special duties as assigned ORGANIZATION RELATIONSHIPS Reports directly to - Deputy Elections AdministratorDirect Reports - No PHYSICAL DEMANDS Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing and occasional lifting/carryingPosition involves operating a motor vehicle ENVIRONMENTAL FACTORS Work is primarily indoors in an air-conditioned environmentRegular travel to off-site post office IRREGULAR HOURS Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be requiredMay be deemed essential personnel in the event of an emergency

MINIMUM QUALIFICATIONS High school diploma or equivalent Two (2) years of clerical experience including data entry and customer serviceWorking knowledge of Microsoft Office Suite LICENSES AND CERTIFICATIONS Required Valid driver's license PREFERRED QUALIFICATIONS Prior experience working in Elections and/or public-sector environmentThree (3) years of clerical experience including data entry and customer service experienceRegistered Election Official (REO) certification within two (2) years of employmentCertified Elections/Registration Administrator (CERA) within (5) years of employment EMPLOYMENT TESTING
