Senior Document Management Specialist-003 (Remote)

Job Overview: A1FED is seeking a Senior Document Management Specialist to support agency's digital and physical document management initiatives.
The ideal candidate will bring expertise in overseeing document workflows, implementing document management systems (DMS), and ensuring compliance with federal and departmental regulations, including Controlled Unclassified Information (CUI).
This role is essential for supporting agency's modernization initiatives, particularly those involving cloud-based solutions for managing and securing large volumes of digital documents.
Key Responsibilities: Lead the implementation, maintenance, and optimization of agency's document management systems (e.g., SharePoint, OpenText, or similar DMS).Oversee the transition from paper-based to electronic document management, ensuring accuracy and completeness of digitized records.Develop and enforce policies and procedures for the storage, retrieval, archiving, and destruction of documents in compliance with federal regulations (including NARA guidelines).Ensure that document management solutions align with agency's broader IT modernization and cloud initiatives (e.g., Microsoft Azure, AWS).Work closely with HUD's IT and legal teams to ensure secure handling and storage of sensitive data, particularly documents categorized as Controlled Unclassified Information (CUI).Monitor document control processes, conducting regular audits to ensure proper access and version control across all agency offices.Provide training and support to agency staff on document management best practices, tools, and systems.Collaborate with risk management, compliance, and IT teams to assess document workflows and identify areas for improvement or automation.Manage high-priority document-related projects, including the coordination of external vendors and stakeholders.Stay up-to-date on industry trends and best practices in electronic document management and federal records management.Required Qualifications: Bachelor's degree in Information Management, Library Science, or a related field (or 8+ years of relevant experience).5-8 years of experience in document management, including leading the implementation of document management systems.Expertise in document control processes, digital archiving, and records management in a government or large enterprise environment.Knowledge of cloud-based document management solutions (Microsoft SharePoint, OpenText, or similar).Familiarity with federal records management regulations (e.g., NARA, FOIA) and CUI handling requirements.Proven experience managing large-scale document conversion or modernization projects.Strong analytical and problem-solving skills, with the ability to lead process improvement initiatives.Excellent communication skills and experience training end-users on document management systems.Preferred Qualifications: Experience working with federal agencies.Familiarity with Microsoft Azure and AWS cloud environments.Certification in records management (e.g., Certified Records Manager, Information Governance Professional).A1FED is an equal opportunity employer and encourages applications from diverse backgrounds.
