Senior Fellowships and Financial Analyst University of California Los Angeles Budgeted Pay Scale: $6,350 - $6,517 Monthly Full Salary Range: USD $76,200.00/Yr. - USD $158,800.00/Yr. Department Summary The UCLA Division of Graduate Education (DGE) oversees policies for graduate programs, excluding Dentistry, Law, and Medicine, and is comprised of the following units: Academic and Postdoctoral Services, Fellowships and Financial Services, Diversity, Inclusion and Admissions, and Graduate and Postdoctoral Support. These units handle recruitment, admissions, financial support, policies and procedures, and student well-being primarily, while other units manage internal operational needs, such as IT, Events, Communications, Human Resources/Budget Administration, and provide Institutional Research to campus and UC constituents. All units work together to support over 12,000 students across 130 academic programs and to promote successful progress in graduate education. This comprehensive approach ensures academic excellence, student diversity and prepares students to make significant contributions worldwide. Position Summary Under the direction of the Director of Graduate Fellowships & Financial Services, primary duties include award administration and advising stakeholders in regards to all aspects of graduate funding. Provide information to students and departments on funding eligibility criteria. Monitor and enforce Academic Apprentice Personnel policies and procedures. Manage designated funding based on assigned programs. Research and reconcile Division of Graduate Education (DGE) accounts, general ledgers, and payroll relating to student financial activity. Generate regular and ad hoc reports on DGE awards and academic apprentice personnel policy. Analyze reports to identify problems to respond to individual questions. Research and resolve internal account discrepancies. Train departmental users on DGE -based interfaces/systems along with , Financial Aid Management (FAM) System. Direct, develop, coordinate and assist with projects with particular focus on IT/IR and operationally related endeavors. Serve as a liaison and provide problem resolution regarding highly confidential matters within a customer service environment at a local and campus-wide level. Represent DGE within other campus units with respect to committee, meeting, training or presentation settings. Reconcile remission benefits liability accounts. Serve as a resource/backup/support to the Academic Apprentice Personnel (AAP) Coordinator as it relates to all aspects of the employment lifecycle including processing intercampus appointments, ASE/GSR advance loans, and access requests for fee deferrals and document direct for departmental administrators. May occasionally need to supervise and train one to three part-time student workers. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Skill in analyzing information, problems, situations, practices or procedures to define the problems or objective. Identify relevant concerns or factors, patterns, tendencies and relationships, formulate logical and objective conclusions, and recognize alternatives and their implications. (Required) Skill in interacting diplomatically with persons of various social, cultural, and economic backgrounds in order to assist stakeholders on various matters that pertain to funding and Financial Services. Skill in speaking clearly and distinctly, using proper English, and appropriate vocabulary, in formal and informal settings to provide consultation and to instruct others. (Required) Skill in making presentations to large groups to elicit an exchange of ideas including graduate funding and employment. (Required) Skill in writing concise and grammatically correct business correspondence, memos, procedures, and manuals. (Required) Skill in following and working through on tasks assigned. (Required) Skill in project development and management both internal and external to the organization. (Required) With minimum supervision, skill in organizing and prioritizing duties and assignments under the pressure of deadlines, frequent interruptions, distractions, and heavy workloads. (Required) Skill in generating ad hoc requests via mainframe and/or PCs for executive management. (Preferred) Knowledge of university and extramural policies and procedures as they apply to academic and financial standards governing the use of funds to support graduate students. Working knowledge of financial systems, billing and accounts receivable, purchasing and accounts payable. (Preferred) Ability to perform mathematical equations with or without a calculator as needed. Working knowledge of excel. (Required) Knowledge of university hiring policies and procedures as they apply to Academic Apprentice Personnel. Knowledge of university fund management policies, including auditing, account reconciliation procedures, and fiscal closing. (Preferred) Ability to determine which information should be forwarded to others, including administrative staff, supervisors and students. (Required) Education, Licenses, Certifications & Personal Affiliations Bachelor's Degree Bachelor's degree or equivalent education and experience (Required) Special Conditions for Employment Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation. Live Scan Background Check: A Live Scan background check must be completed prior to the start of employment. May be required to work occasional evenings and weekends. (Required) Required to work at least 6 hours per year at DGE special events.
