General Summary of Position Provides administrative/secretarial support to the head of a major administrative organizational unit.
Coordinates the daily administrative operations of clerical staff and activities ancillary to the work of the office.
Primary Duties and Responsibilities Receives and reviews all incoming correspondence and determines proper action.
Gathers background information to facilitate required action by superior(s) and drafts a variety of correspondence not requiring technical knowledge.Composes routine correspondence, such as letters of acknowledgment, acceptance letters, routine office reports and requests for information.Reviews all outgoing correspondence to assure proper spelling, grammar, punctuation, attachments and continuity of text.
Establishes a systematic follow-up procedure to assure that responses are submitted on a timely basis.
Assures that confidential mail is handled discreetly and classified information is safeguarded.Exercises control of supervisor's appointment schedule.
Makes appointments and arranges conferences and meetings without specific prior approval, based on knowledge of supervisor's duties, priorities, commitments and program goals.
On own initiative and discretion, establishes priorities, sets up, schedules, or refuses appointments, accepts or declines invitations to meetings or may arrange for representation by a subordinate official when desirable.Devises and installs office procedures and practices to be used by department secretarial and clerical staff.
Prepares agenda for and conducts periodic secretarial training to include correspondence, telephone procedures, reports and public relations responsibilities.
Recommends changes in office policies as indicated.Supervises designated office projects and performs basic data collection, as requested.
Obtains information as needed from various WHC and outside sources.
Gathers and analyzes data, and prepares a variety of special and/or recurring reports.Supervises department secretarial and clerical staff.
Assigns work priorities and deadlines, interviews and orients new staff.
Assists in evaluating performance and makes recommendations for personnel actions such as merit increases, promotions, disciplinary actions and grievances. Minimum Qualifications EducationAssociate's degree in Secretarial Science or equivalent required Experience3-4 years required
