The Senior Workplace Coordinator is a part of the Workplace Strategy & Planning team and partners with internal resources, consultants, contractors, and the Regeneron Community to support the coordination of Workplace Strategy for projects and day-to-day activities. The role will assist in the planning, procurement, and installation of furniture, fixtures, and scientific laboratory equipment, and all MAC activities, focusing on enhancing safety, efficiency, and effectiveness.
A typical day might include:
Providing excellent customer service to end-users for furniture, fixtures & equipment and Moves, Adds & Changes (MAC) activities.Ensuring project phases are met for both project and day-to-day work schedules.Maintaining and tracking budget, schedule, project documentation, and space efficiencies, taking corrective actions when required to meet project goals.Contributing to strong teamwork in project management and implementation to ensure proper communication and coordination with all key departments.Providing leadership in the planning and execution of major day-to-day and project activities, and other related initiatives.Coordinating and validating space reconfiguration with workplace planner to ensure compliance with interior design and lab standards.Managing all internal resources and contracted services with effective communication to ensure MAC and projects are completed cohesively and timely – minimizing business disruption.Serving as the primary liaison to workplace planner, Security, RE&FM, IT, and end users to ensure move schedules are communicated and aligned with critical needs. Reporting and solving any scheduling and implementation conflicts promptly and professionally.Preparing for move activities and coordinating with move managers as needed to verify the space is ready for occupancy.Working with vendors to generate proposals for FF&E and/or labor. Partnering with Continuous Improvement for order placement. Scheduling delivery and installation in conjunction with other activity onsite, fellow Coordinators, and project schedules.Taking direction from Workplace Planners or other senior team members in the ordering and installation of individual office furniture, accessories, ergonomic accessories, or lab equipment.Managing & coordinating TriRiga IWMS workstreams. Responsible for maintaining employee locations data in TriRiga.Coordinating wayfinding signage installation and upkeep, and controlling furniture inventory in conjunction with fellow coordinators.Managing vendor relationships, including monitoring invoicing, POs, budget forecasting, and annual closeout.Participating in project meetings as needed.Applying policies and procedures to make decisions and advancing issues to management.This role might be for you if you have:A Bachelor's Degree and/or 4-6 years of related experience.Knowledge of the space planning process.Familiarity with IWMS / TriRiga.Effective organizational, interpersonal, and communication skills.A strong customer service outlook.The ability to read and understand floor plans, and proficiency in Microsoft applications, especially Excel (Intermediate to Expert level).A willingness to learn, flexibility, and an action-oriented mindset that embraces collaboration and resourcefulness.Does this sound like you?
