Please send an updated resume in Microsoft Word format Position summary: The Practice Administrative Assistant, Individual Client Services serves as a liaison between their assignments and external and internal clients, acts as a project coordinator, and may be responsible for supporting a combination of attorneys, legal assistants, and business departments.
Essential functions: Acts as the administrative liaison for the desk assignments.Supports internal and external client experience efforts.Suggests enhancements to procedures to expedite projects and improve effectiveness of duties and responsibilities.Coordinates internal and external meetings with limited direction based on meeting requirements.Composes, edits, and proofreads correspondence, presentations, and other documents.Enters and releases timekeeper submissions in the time entry system.Manages projects as assigned by Practice Administrative Services (Excel, Interaction, Data Accuracy, Funds Database, Electronic Closing Binders).Provides continuous status updates on projects and assignments to appropriate key stakeholder(s).Manages new client/matter and conflicts process on behalf of assignment(s).Serves as a liaison between the business departments and the assignment(s).Supports Marketing & Business Development's efforts to resolve contact discrepancies and maintains client relationship data within our Client Relationship Management system (InterAction).Coordinates with Marketing & Business Development to provide marketing materials for business development efforts.Manages attorney social media, and coordinates efforts to update social media platforms on behalf of attorney (Twitter, LinkedIn).Participates in ongoing training and development to keep up with evolving support needs.Provides in-depth instruction to team members ensuring best-in-class service while away or out of the office.Provides general administrative support such as coordinating travel arrangements and processes expense reimbursements.Understands and adheres to best practices as determined by the Firm. Individual Client Services (ICS) Creates documents and/or memoranda in draft and in final form from dictation, handwritten material, or typed copy.Supports client relationships and fosters effective communication in a timely and professional manner.Assists in preparation/updating/revising wills, trusts, and other estate planning documents.Provides administrative support to ensure a smooth daily workflow to meet project deadlines.
This includes word processing, photocopying, and scanning, processing of mail and performance of other clerical duties, scheduling; Qualifications: Minimum 3 years relevant experience with individual client services environment.Expert proficiency with MS Office (Word, Excel, PowerPoint and Outlook) and other Firm-wide applications.Understands and supports the team focus.Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
