We are seeking a detail-oriented Administrative Assistant II to support our dynamic team in managing the background check process for applicants.
In this role, you will play a critical part in maintaining communication with applicants, ensuring all necessary documentation is collected, and coordinating interview schedules.
You will also keep comprehensive trackers of all applicants, regardless of their status in the background check process.

Key responsibilities include:
Managing calendars and providing phone coverage.
Opening, sorting, and distributing mail and emails.
Compiling and analyzing information for reports and presentations.
This position offers a hybrid work schedule, allowing you to work three days in the office and two days remotely, with flexible hours between 7 AM - 3:30 PM or 8 AM - 4:30 PM.

SUMMARY
The Administrative Assistant II position is the second of a two-level Career Ladder series.
The incumbent provides customer and administrative service in the support of routine to moderately complex, daily operational activities within WMATA Departments.
The Administrative Assistant II supports individuals, teams, and departments.
Collects, reviews and analyzes data; prepares reports, charts, budget information and other presentation materials.
Responds to or routes routine inquiries from external and/or internal sources using standard correspondence or other messaging.
Also schedules and coordinates meetings, travel and other group activities.
ESSENTIAL FUNCTIONS Interacts with customers and staff using professional, courteous interpersonal skills to provide optimum service.
Ensures proper care of sensitive documents, including following procedures for mailings, handling, transmitting and communicating these documents.
Establishes, maintains, and oversees filing system and records for the department to ensure compliance with Authority guidelines and best practices.
Meets deadlines for generating reports, letters, memoranda and other assorted documents required to support the department.
Develops and maintains calendars, provides phone coverage, opens, sorts, and distributes mail and e-mails.
Handles travel arrangements for managers in the department, providing administration of departmental travel budget.
Prepares agendas and advisory memos to assure logistical support for assigned areas of responsibility, allowing comprehensive departmental planning.
Compiles and analyzes information for inclusion in reports or presentation materials to provide essential information to the department.
Engages in more complex duties to include database management for analysis, budgets, data entry and report preparation.
