Job Description: The Administrative Assistant for Public Safety provides high-level administrative support to the Director, Deputy Director, Shift Sergeants and Patrol/Communications Officers.
The Administrative Assistance also provides front desk reception coverage and general administrative support for the Public Safety Department suite, and additional tasks performed with a high degree of autonomy.
The Administrative Assistant for Public Safety reports directly to the Director of Public Safety.
The position is a part time, ten (10) month position.
Mon, Tues, Wed, and Thurs.
9:00am to 3:00pm.
Location: Glenside
Essential Functions:
Serves as the first point of contact for the Public Safety suite, provides general information and referrals to office visitors and directs telephone calls to appropriate Public Safety staff or other University offices.
Understand, interpret and articulate department/University policies and procedures to internal and external constituents.
Maintain the Director's calendar - coordinate appointments/meetings with direct reports, other University staff, faculty, students and others outside the university community.
Draft, edit and proofread correspondence and reports; create spreadsheets and databases; develop documents for presentations or meetings.
Prepare payroll, meeting agendas, and complete work orders.
Coordinate campus event set-up with Shift Sergeants, including room reservations, and audio/visual equipment requests.
Supports the Parking Enforcement and Card Access Systems.
Perform a variety of clerical duties in support of the department including, but not limited to prepare purchase orders and check requests; process expense reports; order and maintain office supply inventory; maintain office files; coordinate bulk mailings, organize daily reports.
Coordinate and monitor department/area budgets and accounts; approve expenditures; research and reconcile discrepancies.
Supports departmental operations by preparing weekly summary to University Officials.
Assists in oversight of Student Employees Program and processes student employee time records.
Serves as a liaison with other key offices (Registrar's Office; Dining Services, Housekeeping, Facilities, Residence Life etc.)
and shares appropriate information with students and staff.
Qualifications: Required Knowledge, Skills and Abilities
The ideal candidate is self-motivated, proactive, able to resolve issues independently, and able to handle multiple priorities simultaneously, often under strict deadlines and with frequent interruptions.
Must be a critical thinker and have strong problem-solving skills.

The ability to maintain confidential information is crucial.
Effective written and oral communication skills, excellent organizational skills, a professional and courteous manner, an acute attention to detail, a positive attitude, and a sense of humor are essential.
Minimum Qualifications High school diploma or equivalent with some college coursework preferred.
At least one year of office experience in a fast-paced office is required.
Experience in an educational setting is preferred.
Proficiencies in Microsoft Word, Power Point and Excel is preferred.
Competence in email and calendar applications are essential.
Must have working knowledge of or the ability to learn and use University systems or other applications that may be used within the department.
