AvantGarde, LLC (AG) seeks to engage a Marketing Administrative Assistant supports the AG client remotely and occasionally on site at the U.S. Patent and Trademark Office (USPTO), Office of Human Resources (OHR) by providing broad-based administrative marketing assistance to a team supporting recruitment and staffing of Patents, Trademark, and Corporate candidates for employment. **  Work is 100% remote; however some on-site work will be required in Alexandria, VA once or twice a week. ** The WORK Assist Marketing Specialist with career fair event logistics such as vendor research, identification, and engagement; prepare event registration and associated USPTO financial documents to gain approvals; submit "terms and conditions" to the Office of General Law; coordinate staff event assignments; and compile open vacancy announcement information. Proactively monitor available resources and collateral for recruitment seasons to ensure adequate office supply and brochure quantities, order or reproduce any that are low, and ensure all printed materials are up to date Collect and pack outreach and marketing collateral to ship to on-site events Ensure equipment, such as displays, are in working order prior to recruitment visits Ensure USPTO representatives are confirmed for attendance and provide orientations for event participation Prepare representatives with instructions on what to do when they arrive and what to collect or ship back when the event is finished Assist Marketing Specialist with hosting on-site events including helping identify the date(s) and available venue, coordinate and set up registration/reservation processes and track reservations quantities, complete logistics for securing agency representatives and execute day-of event logistics such as check-in, signage, etc. Respond to recruitment inquiries via email correspondence within 24 hours. Respond to messages within specialized college recruitment platforms (Handshake) within 48 hours, input all virtual webinar events and job postings on the platform and share with universities nationwide Prepare marketing materials for various agency organizations, and coordinate pick-up/drop-off of marketing materials with business units Assist the Patents Recruitment Lead with ordering supplies for the marketing room and patents recruitment season Input emails received from in-person recruitment events to OHR marketing's student network spreadsheet for future email campaigns and communications Input information on recruitment events to patents SharePoint Coordinate Veteran recruitment events with the Veteran Recruitment lead on upcoming in-person events. Report onsite to the Alexandria Campus to pack/ship materials prior to the start of the event. Research and build contacts for college career centers and affinity groups. Post patent examiner or student program vacancies on college job boards. The REQUIREMNTS High School Diploma is required; an undergraduate degree in HR, marketing/communications or related field is strongly preferred. · At least 2 years of experience providing general administrative support. Knowledge of MS Office Must have exceptional organizational skills and have the ability to juggle multiple priorities. Ability to adhere to strict confidentiality processes to secure private candidate information. Must be proactive to stay ahead of tight deadlines. Requires resourcefulness to research information to support recruiting events and development of marketing materials. Excellent writing skills with specific attention to detail. Excellent, demonstrated customer service skills. Flexibility with their approach in delivery of work. Other Specifications Must be effective working remotely and use collaboration/communication tools. Must be willing to work onsite on occasion/as needed in Alexandria, VA. Must be able to report for work M-F, 5 days a week. Alternative flex schedule is allowed within normal work hours (i.e., between the hours of 6 a.m. – 4:30 p.m.). Must be able to obtain a Public Trust Clearance following USPTO security processes.
