The Opportunity We are seeking a full-time Senior Proposal Coordinator for our Houston studio. This role offers an excellent opportunity to develop a diverse skill set, understand client needs, build industry knowledge, and leverage networking opportunities within a dynamic and collaborative environment.
Qualifications Demonstrated capacity to execute tasks with minimal oversight, showing initiative and problem-solving skills.Proven ability to balance multiple projects simultaneously, meeting deadlines in a fast-paced environment.3+ years of AEC marketing experience, preferably in landscape architecture, urban design/planning, architecture, or related disciplines.Experience with larger companies (150+ staff) and matrixed teams/leadership preferred.Strong understanding of the contemporary AEC market and key issues influencing the design industry.Proficiency in Adobe InDesign (required), Photoshop (desired), and Illustrator (desired).Experience with asset management software (e.g., OpenAsset), CRMs, and market intelligence tools.Excellent written and verbal communication skills.Strong organizational and time management abilities.Proactive, collaborative attitude with the ability to work independently and with senior management.Bachelor's degree or higher.Key Responsibilities: Coordinate, maintain, and ensure quality of marketing materials including project tearsheets, narratives, resumes, visuals, firm profiles, and presentations.Manage digital asset libraries and resource content.Spearhead proposal responses, ensuring accuracy and compliance.Conduct kickoff meetings with project leadership to define pursuit strategies.Perform QA/QC on proposals and support peer reviews of final SOQ packets.Contribute to studio strategy on business development and pipeline management.Conduct market research and gather intelligence on focus clients.Advise on positioning SWA for future work and building strong client relationships.Help structure and maintain coherent systems for marketing across software platforms and shared drives.Streamline proposal development processes and maintain organized contact lists.Assist with event planning and marketing collateral development.Support awards submissions by writing narratives and tracking wins.Work closely with the Houston Marketing Manager, Business Development Director, Communications Director, and marketing staff across SWA's eight studios.Foster team and firm culture through various forms of connection and engagement.What We Offer Opportunity to work on diverse, high-profile projects.Collaborative and creative work environment.Professional development and growth opportunities.Employee ownership structure.Competitive salary and benefits package.
